ChatGPT

ChatGPT is a chatbot that can help you thwart writer’s block by providing boundless inspiration.

The tool can be used to quickly generate blog posts, product descriptions, brief outlines, article headers, social media content, email replies, and other short-form content. You can also use tools like ChatGPT’s Code-Interpreter to help you write and edit code on your freelance website.

While we don’t recommend using ChatGPT as an easy way out of producing work, it can be helpful for a few elements. 

As an example, while your proofreading business grows, you might want to tap into the editing space. Let’s say you want to broach academic writing, but it’s not your area of expertise. With ChatGPT, you can write your work and then plug it into the chatbot, asking it to see if your writing is tonally correct. 

Setting up a ChatGPT account is a breeze and, best of all, there is a free version. For faster response times and priority access to new features and improvements, a paid subscription plan is available for $20 per month.

Jasper AI

Siri — yes, the virtual AI assistant tucked within your phone — can help you stay on top of your work in a wide range of ways — from setting task reminders to initiating a timer countdown (ideal when using time management strategies like the Pomodoro technique).

Siri is free to use and is available on every Apple device, though if you’re not an Apple user, you’ll want to instead use Alexa (Amazon) or Cortana (Microsoft). While these virtual assistants have slight differences, the tools all provide similar productivity features.

    How to Stay Productive While Working from Home

    Increasing your productivity isn’t just about setting Do Not Disturb mode on  your environment, habits, and daily routine can all help your productivity flourish (or hinder it).

    Tip #1 Create a Dedicated Workspace

    Set up your workspace in a quiet area of your home, ideally where sunlight naturally floods through. You should also invest in some ergonomic office supplies, including a chair that’ll support your posture and keep back aches at bay. 

    Sure, there’s something enticing about staying snug in your pajamas and taking your work calls from the comfort of your bed, but merging your workspace with your sleeping space isn’t conducive to your long-term productivity. 

    Without a dedicated workspace, it’s increasingly more difficult to separate your personal life from your work life (and resist all the homey temptations around you, including that snooze button). 

    A dedicated workspace helps you get into the right mindset for work and ensures you can easily hit the mental off-switch, taking your hard-earned siesta. 

    Tip #2 Fuel Your Brain with Healthy Foods

    Healthy foods can truly nourish your brain, giving you all the energy you need to power through your work and meet those tight deadlines.

    Nuts like walnuts, cashews, and macadamia, and fish such as salmon, cod, and tuna are rich in omega-3 fatty acids, which may help improve your concentration and memory. Other nutrient-rich foods to complement your diet include leafy greens, eggs, blueberries, and tomatoes. 

    Caffeinated drinks like coffee and green tea can also help give you a burst of energy and keep your mind sharp. However, try not to rely too much on caffeine. Consuming anything in excess–especially too much caffeine–can leave you tired and irritated, tanking your productivity. 

    Tip #3 Keep a Consistent Sleep Schedule

    Go to bed and wake up on a regular schedule to keep your body clock in sync, and aim to get 7–9 hours of sleep each day. You should also ditch the caffeine in the evening, stop scrolling before bed, and filter out any disturbances with earplugs and blackout curtains.

    When you look at a large, challenging task in its entirety, it’s easy to become discouraged before you even make the first step. The end is just so far away, that the goal seems impossible — it’s the equivalent of climbing a mountain with no peak in sight!

    Rather than focusing on the end goal, you can combat these overwhelming feelings by breaking down the task into smaller, more manageable ones. You’ll find it much easier to visualize each step (and see that peak!), and it’ll also give you a clear, achievable starting point. 

    Reward Yourself

    Don’t forget to reward yourself after every work task you complete. As remote workers, we don’t have colleagues around us to praise us for all our efforts! Rewarding yourself regularly gives you a strong sense of accomplishment and helps motivate you to keep up the good work. 

    Try Time Management Methods

    Time management methods are a great way to maximize your productivity and keep you on top of deadlines. They give you a clear schedule, ensure you prioritize daily tasks effectively, and help you stay focused.

    There are several different time management techniques you can use to organize your WFH day, and each is better suited to a different need. 

    Here are some all-time favorite time management methods at Proofread Anywhere:

    Task Blocking

    Schedule everything in advance and organize your day in time blocks of like-tasks (such as meetings, follow-up communication, and project time). Task blocking gives you a better sense of the time spent on task types, highlighting where you’re wasting hours on non-essential tasks.

    Time Boxing

    Similar to task blocking, however, you instead assign each work task and break period a specific time slot on your calendar. You schedule this in advance the day before. This strategy gives you full control over the day. Our project manager at Proofread Anywhere personally swears by time-boxing the night before — it reminds her to take her well-earned breaks the next day!

    Day Theming

    Dedicate a whole day to a particular task or personal goal, such as pitching to prospective clients. Perfect for those who struggle with multi-tasking. 

    We recommend trying a few different methods to find out which strategy works best for you! 

    Use a Productivity Timer

    A productivity timer encourages you to focus solely on the task at hand for a set amount of time — usually 30 minutes to an hour — and then take a brief break before moving on to the next task. Repeat this strategy until you’ve finished the task.

    We totally get it — regular breaks seem counter-productive. Many of our team members had this exact mentality when they began their freelance careers! But speaking from experience, regular breaks contribute to focus, give your brain enough time to recharge, and ensure you’re never overexerting yourself. 

    There are various timer methods you can try, including Pomodoro, Flowtime, and Eat the Frog. We cover these in detail in our new mini-course, “Productivity Pathway” (more on this later!). 

    Get an Accountability Buddy 

    Working from home has many perks, but it can feel isolating at times without colleagues to boost your morale and push you to keep going. If you think your productivity would benefit from having someone around, consider reaching out to an accountability buddy. 

    Accountability buddies can be anyone who helps you stay on track to meet your work goals. They check in on your progress, challenge you to push yourself further, and hold you accountable if you start missing your set goals due to bad habits.

    Anyone can do — a friend, family member, or former colleague. You just need to reach out and ask for their support — we’re sure the person you choose would be happy to help and may even appreciate you being their accountability buddy too! You don’t need to meet your accountability in person. You can have video calls through software like Zoom or Skype instead. 

    Invest in Productivity-Enhancing Tools

    There are plenty of online tools that can help maintain a sustainable workflow, and many are completely free to use. Combining productivity-enhancing tools with your proactive efforts can help you unleash your full potential while working from home.

    • The Elephants of Style: A Trunkload of Tips on the Big Issues and Gray Areas of Contemporary American English by Bill Walsh: I love this book for the same reason I love the one above, Bill Walsh acknowledges the gray areas!! There’s a reason English classes in school are now called Language Arts (and not Language Sciences).
    • A Dash of Style: The Art and Mastery of Punctuation by Noah Lukeman: I love how this book, again, likens punctuation to art: in particular, a symphony! Lukeman has a knack for helping punctuation make sense in people’s heads, and I especially recommend his book to anyone who struggles with the less common punctuation marks, such as the dash or semicolon.

The subdomain does detract from the professional look, plus you’re left with a very visible ad for the website builder on your page: two things that, for a very reasonable cost per year, can be gone completely.

    4. Make a Plan for Success

    We’ve all heard the saying, “If you fail to plan, you plan to fail.”

    Well, it’s true! Setting goals is not only important for your business but for your own personal growth. Being able to check off your own achievements will help you feel more confident in yourself and your future. 

    Some examples of reasonably achievable tasks can be: 

    • – Proofread 100 pages before 2 pm
    • – Write 1,000 words for a new article
    • – Create 3 new images for your blog
    • – Film a new tutorial video for a skill that you teach
    • – Reply to 10 important emails before 10 am

    Assigning yourself just one of these tasks a day helps you avoid becoming a workaholic — there’s no reason you need to force myself to do all four of those tasks in one day.

    Morson’s English Guide for Court Reporters, Second Edition — our entire proofreading program is based on this guidebook. It’s pricy because it’s been out of print since the mid ’90s, but it’s still highly regarded as the “bible” for court reporting punctuation.

    One Word, Two Words, Hyphenated? — A VERY good reference and learning tool to help you overcome the common confusion related to hyphenation. (Really good for general proofreading students, as well!)

    The Gregg Reference Manual — arguably the second most commonly used reference in the court reporting world, The Gregg Reference Manual offers a less expensive and more recent alternative to Morson’s Guide.

    Legal Terminology for Transcription and Court Reporting — a textbook guide to the terminology you’ll find within transcripts. There are quite a few online references for these terms as well, but if you’re one of those people who likes a hard copy, this is a worthy investment.

    The Court Reporter’s Reference of Commonly Used Words and Phrases — For all intensive intents and purposes, this is a SUPER handy book for helping identify the misuse of these words and phrases, too!

    The Chicago Manual of Style, 17th Edition (CMOS)  — This is the main text we referenced while creating the General Proofreading course. In fact, all the practice worksheets and essays in the class are based on CMOS. Having that style guide on hand is critical to your success in the class. It will help you through those practice exercises AND give you some hands-on practice doing research at the same time.

    Depending on your preferences, you can purchase the hard copy or sign up for an online subscription. CMOS offers a FREE 30-day online trial, and after that, it’s only ~$39/year for the online version. It’s invaluable to your success not just in the course but in your general proofreading career!

    Merriam-Webster’s Collegiate Dictionary, 11th Edition — This is the second resource we used when creating the GP course. You have lots of options here! You can purchase the hard copy, access the dictionary for free online, or you can pay for the online yearly subscription to Merriam-Webster Unabridged as it also includes the Collegiate Dictionary and the Medical Dictionary. That subscription is $29.95/year.

    The Pocket Book of Proofreading — a handy mini-guide to the business side of things in the general proofreading world.

    The Best Punctuation Book, Period is easily a favorite of ours. It’s an all-in-one reference for book, magazine, online, academic, and business writers. Author June Casagrande makes it super easy to look up sticky punctuation questions for all styles including AP, MLA, APA, and the Chicago Manual of Style.

    The Blue Book of Grammar and Punctuation is a robust book with real-world examples and excellent quizzes to test your knowledge.

    A Bat Cannot Bat, A Stair Cannot Stare — Got kids? Buy them this book! It’s an EXCELLENT choice for kids and adults alike. You are guaranteed to learn something you didn’t already know about sound-alike words.

    Spelling-Words-Well.com has a ton of free printable spelling activities for both adults and kids! They also have a world-class selection of affordable eBooks that can be used for homeschooling or just fun learning activities.

    Improvement Workbooks

    Find the Errors! Proofreading Activities and Find the Errors II — these books are technically designed for students, but we find the activities really useful to help train and sharpen your eyes. If you’re not quite the right fit for proofreading as a profession but would like to sharpen your eye for error (we think that’s a GREAT idea — proofreading is such an important skill for anyone in any industry!), we recommend these exercises to help you do so.

    Phunny Stuph: Proofreading Exercises With a Sense of Humor — an activity book that helps you identify errors by proofreading jokes! Great for all ages.

    Brown Noise .mp3 — You can use this $0.99 brown noise .mp3 when you’re in a noisy hotel room or when someone has the TV on.

    Liquid Mind audio CDs/.mp3 — for those who like soothing, no-vocal music in the background to help them focus. We also like Spotify, but every 20 minutes or so, a commercial comes on and ruins your focus if you’re using the free version.

However, an inconsistent sleep schedule can leave you feeling sluggish and make it hard to focus while working from home, and it can even affect your physical health in the long run. 

    Create a sleep schedule and make every effort to stick to it, ensuring you wake up at the same time and get between seven and nine hours of sleep per day. Avoid using screens an hour before you hop into bed, and if you’re an avid coffee drinker (like most freelancers), make your evenings a “no-caffeine” zone.

    If you grew up like me, you probably got the impression that success is all about luck and opportunity. However, as I’ve gotten older, I’ve realized that luck and opportunity play a role in every part of our lives, but success comes more easily when it’s accompanied by deliberate habits and a productive mindset. There are plenty of places where you can read about different techniques to improve your mindset and set habits that will lead you to your goals, but here is a list of 6 habits that, I believe, will lead you to success. 

    If you’re looking to amp up your productivity, you’ve come to the right place! So, are you ready to unlock the secrets to success? Let’s jump right in!

    1. Set and Plan Clear Goals — Don’t Just Daydream

    So, what does being successful mean to you? Your definition is probably different than mine, but one thing we can agree on is that success often refers to a meaningful state of finally reaching our goals and purposes in life. There are no fixed rules, really, in terms of being successful. However, having clear goals can be the common starting point for achieving them. 

    Goals, goals, goals. We’ve heard it a million times that goal setting is the only way to move intensionally toward success. Especially during times of change, people cling to their goals and values in an attempt to push through hardship. But setting a goal isn’t as simple as picking a path and walking down it. Studies have shown that the planning behind your goals is just as important as the goal, itself. 

    To start on your journey, you’re going to need a roadmap. It’s not enough to simply wish for success — you need to define it by knowing what you want to achieve and setting clear, measurable objectives to reach it. 

    When you set a goal, it needs to be specific, measurable, attainable, relevant, and time-bound (SMART) goals. Let’s take a typical example in freelancing: instead of saying, “I want to be successful,” a better goal would be “I will increase my annual client work by 20% within the next 12 months.”

    The idea of goal setting and planning is simple to understand, but it’s easier said than done. Don’t worry, you can try these tips to practice: 

    • Record your goals and plans using a journal, infographic ideas, or digital tool
    • Stay aligned with your aspirations by reviewing your objectives regularly
    • Refine your plans by seeking feedback from mentors and peers 
    • Be adaptable and open to adjustments as circumstances change. 
    • Motivate yourself by celebrating your achievements, no matter how small or big

    Once you have a long-term goal, you can start breaking it into smaller, actionable steps that will lead you toward your goal. This roadmap will help you to see how close you are to success and what you can do to push yourself along or pick yourself up when you’re feeling unmotivated.

    2. Manage Time Effectively

    As cliché as it may sound, we all have the same 24 hours a day and seven days a week. The way that we manage our time has a direct impact on how much we are able to achieve and how quickly, or effectively, we can achieve our goals. 

    If you struggle with time management, you aren’t alone and there are plenty of ways that you can improve your habits. You can start by prioritizing your tasks — tackle the most important ones first and minimize distractions. 

    Some other common methods to help improve your time management skills include: 

    • The Pomodoro Technique: Break work into intervals (typically 25 minutes) followed by short breaks. This technique harnesses the power of time pressure to enhance concentration and productivity. 
    • Time Blocking: Allocate specific time slots for different tasks or activities. This technique gives sufficient time to essential duties to avoid overcommitment. You can track this using a daily planner or your Google calendar. 
    • To-Do Lists: Organize tasks, set priorities, and experience the satisfaction of crossing items off of the list when they are completed.

    Keep in mind, that when you are completing tasks to increase productivity, you shouldn’t overwork yourself. Even if you are getting tasks done more quickly, you don’t want to sacrifice the quality of your work, or your own energy and mental stability. Effective time management includes understanding your boundaries — unplugging and resting when you need to is vital. Make sure to take regular “brain breaks” to make sure that your mind is getting the rest and recovery it needs.  

    Focus on allocating your time efficiently, not only for your professional hours, but also for personal time with yourself, friends, and family.

    3. Never Stop Learning

    The next, and my favorite, tip for increasing your success to to have endless curiosity and a drive for continuous development. This development doesn’t even necessarily have to be professional. Constantly learning and growing is one of the best ways to keep your mind healthy, especially in stressful environments. 

    Learning is a lifelong journey, and it’s up to us to take advantage of opportunities to invest in our personal and professional development. This habit helps us adapt to changing circumstances and stay at the forefront of our respective fields.

    To cultivate a mindset that allows for continuous growth, try to always be welcoming towards new information and experiences. Treating each experience as a learning opportunity will help you to grow and experience more opportunities in the future. Understand that we’ll always have more to learn and we never can fully understand every aspect of an idea. View each challenge as an opportunity to expand your understanding and expertise.

    Thanks to the internet and the wide accessibility of educational material, you can take advantage of this information by 

    • Reading books, articles, and research papers
    • Attending courses, workshops, and seminars for more structured learning experiences
    • Seeking guidance from mentors who are experts in your field
    • Exchanging ideas with friends and colleagues

Essentially, you need to practice working on one task with full focus to complete it to your full potential.

    You can train your mind to become more aware and disciplined through meditation. Here’s how meditation supports productivity: 

    • Mindful breathing: Meditation often starts with focusing on the breath. Simply inhaling and exhaling brings the mind into the present moment, fostering a sense of inner calm. 
    • Enhanced concentration: Regular meditation strengthens the “attention muscle.” It allows individuals to hold their focus on a single point for more extended periods, making them less susceptible to distractions. 
    • Lessening stress: Meditation reduces stress by activating the body’s relaxation response. It enhances your well-being, which leads to better decision-making and problem-solving.

    To make mindfulness and meditation part of your daily routine, consider applying these simple tips:

    • Start with short meditation sessions like yoga practices, gradually increasing the duration. 
    • Find a quiet, comfortable place for your practice, free from distractions. 
    • Experiment with various meditation techniques, such as guided meditation, body scans, or loving-kindness meditations, to discover what works for you.
    • Use apps or online resources like social media videos to access guided meditation sessions. 
    • Consistency is key — aim for daily practice to experience the full benefits.

    5. Maintain a Healthy Lifestyle

    When you’re focusing on improving your productivity, maintaining physical and mental health has to be your top priority. With a healthy body and mind, you’ll become more resilient and capable of handling demanding workloads and stressful situations.

    Start with physical exercise at home to rev up your engine, boost your mood, and increase your overall energy level. Physical activity stimulates the release of chemical signals to help sharpen your focus, cognitive function, and decision-making process. 

    Sometimes, these exercise routines also incorporate movements such as gently cracking your lower back to relieve tension and discomfort in your body. These movements, when done safely, can promote flexibility and alleviate stiffness. In return, it helps fix a slouched posture and makes you more comfortable during productive hours.

    A healthy lifestyle also includes:

    • Maintaining balanced nutrition and meals
    • Having adequate sleep
    • Nurturing mental well-being by managing your stress levels

    Keep an eye on your work-life balance, as it contributes significantly to your healthy lifestyle, and the importance of disconnecting from professional responsibilities during off-hours. That’s right, we don’t recommend checking Slack and Gmail at all hours of the night. 

    6. Learn to Delegate

    Delegation is the key to getting the job done swiftly and accurately. Becoming more successful usually correlates with higher workloads, but it’s important to understand how much you can manage and when you will need help. Hiring help is not a negative thing for your business — it’s a sign that your business is growing and succeeding!

    Delegating is also directly linked with time management. Good managers and entrepreneurs understand that working for hours on something that you don’t do well is much less productive than delegating the task to someone who is an expert. It’s okay if you don’t know how to do everything, no one has to. 

    Delegation allows you to focus on high-impact tasks that align with what you like to do and what you are good at. You’re not the only one that will benefit from sharing tasks. It will also allow others to learn and grow their skills. 

    Final Thoughts

    You don’t need to be a genius or the luckiest person in the world to be successful in your personal and professional lives. Success comes from a series of habits and practices that allow you to grow, change, and improve the way that you experience work and the world. 

    When you put in the time and effort that it takes to grow, your success will be just around the corner. By adopting the six practices discussed above, anyone can enhance their productivity and bring them a step closer to success.

    Why Do I Feel Unmotivated?

    Is your motivation just not there? Feeling stuck in a rut is normal, whether it lasts for days, weeks, or months. Even the most successful people in the world struggle with motivation throughout their lives. To combat this, it’s crucial to have a work environment that is both comfortable and distraction-free. This space should be solely dedicated to work, helping you easily slip into the “at work” mindset while establishing a clear boundary between your home and work life. 

      Ready to boost your productivity? Here are some quick and easy changes you can make to create the perfect work environment:

      Remove Clutter 

      Clutter not only occupies physical space but also clutters your mind, leading to distractions, stress, and ultimately, a lack of motivation. Having a clean and organized workspace can alleviate stress and enable you to focus on the task at hand.
